Terms and Conditions

This document lays out the Terms and Conditions for the purchase of tickets to Selwyn May Ball 2015. The May Ball will, subject to the conditions laid out below, take place on 24th June 2017.

The agreement is between the principal ticket purchaser (hereafter “applicant”, until the application is successful and “guest” thereafter) and the Selwyn May Ball Committee (hereafter “the Committee”). If the principal applicant is purchasing tickets for guests as well then they also submit to this agreement on behalf of the guests on their application.

Failure to adhere to these terms and conditions can lead to, amongst other things, an application being refused or voided, tickets being cancelled, entry to the Ball refused or the guest being ejected from the Ball.

  1. Eligibility for Ticket Purchase and Admission to the Ball

    1. During the Selwyn priority period, the principal ticket applicant must be a current student, alumnus, fellow, former fellow or staff member of Selwyn College.

    2. Guests must be bona fide acquaintances of the principal ticket applicant, but need not be connected with the University.

    3. Admission to the May Ball is by valid ticket only, plus valid photographic ID; driving license, or passport.

    4. All guests must be at least 18 years of age on the day of the Ball.

  2. Ticket Types

    1. Single and double tickets are available. Both guests on a double ticket must enter the Ball together.

    2. Admission times to the Ball via email and published on the May Ball website prior to the Ball.

    3. Tickets cost £145 for a single ticket and £290 for a double ticket.

  3. Ticket Application

    1. All ticket applications must be made online at www.selwynmayball.com.

    2. An application containing incorrect or misleading details is automatically void. Such an application may be amended at the President’s discretion.

    3. Tickets can be applied for online by current students, alumni, fellows and staff of Selwyn College from 09:00 on 15th January 2015.

    4. A general ticket release may be announced at a later date, subject to availability.

    5. The applicant is responsible for other guests on their application under this agreement and submits to this agreement on their behalf.

    6. By submitting an application the applicant agrees to have their details stored electronically. The details will not be passed onto any third party and shall remain confidential.

    7. Ticket cancellations or changes to the names or dietary requirements associated with guests on a ticket will not be accepted after 30th April 2017.

    8. Tickets are non-transferable and must not be resold. Any attempt to sell or swap a ticket may result in your order being cancelled.

  4. Ticket Payment

    1. Payment must be made within 7 days of an application being approved. If payment is not received within that time, the booking will be cancelled.

    2. The contract between the Committee and the applicant is only complete after their bank transfer payment has arrived in the May Ball bank account and has been processed. All bookings are provisional until they have been confirmed by the Committee in writing.

    3. Applicants must pay a £20 surcharge if they provide the Committee with a cheque that fails. This must be included in a subsequent payment.

  5. Dietary Requirements

    1. It is the responsibility of the principal ticket applicant to inform the committee of the dietary requirements of the others named on their application.

    2. While the Committee will attempt to tailor the range of food available at the Ball, we cannot guarantee that all dietary requirements will be met for non-dining guests.

  6. Disabled Access

    1. It is the responsibility of the principal ticket applicant to inform us if they or others named on their application have specific accessibility requirements.

  7. Dress Code

    1. The only acceptable attire is Black Tie, White Tie or national dress; dresses should be of a comparable standard. Sports blazers are not allowed. The Committee reserve the right to refuse entry to anyone they deem not suitably attired.

  8. Safety and Security

    1. Before entry to the Ball is allowed, the ticket holder must receive a wristband which must be displayed at all times while on the Ball site. The wristband will only be issued upon the presentation of a valid ticket and photographic identification.

    2. Ticket holders will not be permitted to leave and re-enter the Ball.

    3. Ticket holders are reminded that smoking at the May Ball is only permitted in the designated areas.

    4. The Committee reserves the right to eject any person from the Ball and to take whatever further action they deem appropriate. Grounds for such exclusion include, but are not limited to, violent, loud, indecent, illegal or immoral behaviour, excessive intoxication, possession of illegal drugs or other breach of these terms and conditions. Other grounds include where the Committee and/or its duly authorised representatives have reasonable grounds to believe the ticket holder may have committed or may be about to commit a criminal offence or has engaged or is engaging in other such activities as the Committee deems unacceptable.

    5. The Ball accepts no liability for lost or stolen belongings of guests.

    6. The Ball accepts no liability for financial compensation to the guest if he or she is removed from the Ball.

    7. The Committee reserves the right to photograph and record CCTV footage of the Ball site, its immediate surroundings, the grounds of Selwyn College, and those entering, present in and leaving it, in order to document the event in case of later legal action.

    8. The Committee reserves the right to conduct searches of persons or property to verify any belief that the terms and conditions laid out here are not being adhered to.

  9. Other

    1. The Committee reserves the right to alter the programme and menu without notice.

    2. All decisions of the Committee are final.
